Communication

Hi All

This method of communication seems to be working fine. A couple of things, please remember to post your replies on the Blog, don't just hit reply as that comes to me personally rather than to the whole group. Also when you post your comments please don't forget to put a recognisable version of your name on them, so that we know who is talking, directions on how to do this are on the right hand side of the Blog. (Apoligies for my CatKween which everything is attributed to - that is from my other blog and I haven't figured out how to have different names but still have only one account)

I have loaded up three polls so that we can officially vote on each of the three first questions;
Discussion Length, Binding Decisions, Lack of Response. The polls will close in a week, hope this is long enough, I think this can be extended if necessary.

Question - Committee Membership?

If a person does not repond to any posts for a given length of time do we assume that they are no longer interested and remove them from the committee??

If so, then what is a reasonable length of time to allow?

Do we then invite someone onto the commitee to replace them? and what process should be followed to do this?

Question - Casting Vote?

Does Catriona get a casting vote in the case of a tie? does this casting vote apply if the question time limit has expired but votes have been cast?

Question - Lack of Response = Assent?

If someone does not respond to a question or vote do we consider that they have agreed or do we consider them to have abstained, or to disagree?

Question - Binding Decision?

We have ten people on our committee, how many of them need to respond to for a decision to be considered to be binding?

Question - Length of Discussion Time?

In the interest of organisation and timeliness I think it is important that we come up with a few organisational protocols or rules to make this way of communicating run smoothly. So over the next few days I will be posting questions for you to reply to.

Today's question:

How long should a discussion topic or question be held open for people to have their comments counted? we are going to have to have a cut off point, particularly in the case of voting.

Minutes - 21st March 2008, 1pm

LONGBURN ADVENTIST COLLEGE

MINUTES OF ALLUMNI ASSOCIATION MEETING HELD ON 21 MARCH 2008 AT 1PM


This meeting, held in Science Lab 1 of LAC, followed on from the previous one which had to conclude early.

PRESENT:

Anna Boivin, Rhett Boivin, Graham Feilding, Ashleigh Lowrie, Kelvin McLean, Sheila McNabb, Bill Mancer, Roger Nixon, Catriona Righton.

APOLOGIES:

ALUMNI ASSOCIATION:

Discussion:

All present were concerned that an alumni was started after the 75th anniversary and for several reasons this appeared to have died. All those present did not want a repeat of this and suggestions were made as how we could make this work.

We suggested that when a committee is formed the majority of the members not be staff, although staff must be involved, as so often the teachers are passionate about this but they may be transferred and the impetus dies with their departure.

We would like to suggest the principal be heavily involved as most of the PR material is fuelled though and by the college.

Roger Nixon suggested that we make an exploratory group to look at forming an alumnus before the college fully commits itself to this project.

Bill Mancer asked if there was another college as small as ours that we could communicate with to see how their alumni worked, but Roger N felt that we could be unique. He would like to see us start small with perhaps a couple of projects, and hopefully slowly evolve.

The meeting discussed how to keep in touch as we are spread out over all of New Zealand. Catriona R suggested we all get on to the Yahoo site and start using a chatroom. This suited us all except Graham Feilding, who does not own a computer. Graham felt, however, that he may be able to use a friend’s computer sometimes or else he would have to receive a print-out once a month from the Yahoo site.


It was agreed in principle that the people present at this meeting proceed to establish an exploratory committee to form a College Alumni.

Discussion was had about who should lead this committee. Catriona Righton suggested that Bill Mancer take this role. Bill M thanked the committee for the nomination but declined the position due to his work commitments.

It was unanimously suggested that Catriona R lead this committee and with some provisos she has agreed to do this for the first year.


HOMECOMING:

Roger N felt it would be difficult to have a homecoming in 2008 but to think and plan for this in 2009 and maybe make this the committee’s first big project.


It was agreed that the exploratory committee would plan towards a homecoming in 2009, date to be determined when the school calendar for the next year has been approved.

LONGBURN ADVENTIST COLLEGE

MINUTES OF ALLUMNI ASSOCIATION MEETING HELD ON 21 MARCH 2008 AT 9AM


A meeting was held on the campus during the March 21 - 23 Centenary celebrations.

Catriona Righton, as spokesperson for the Centenary Committee, welcomed about 30 people to talk about forming an alumni for the college. The main purpose of this meeting was to save the history of the college that had been found in the years previous to the celebrations, before it is lost for ever. After Catriona had spoken the people present agreed we must do something soon. Mr Roger Nixon, the chairperson of the alumni at Avondale College, spoke of how the alumni presented itself, what its aims were for the past, and the future.

The first question to be addressed was “what is an alumni and what is its purpose”. We learned that an alumni is really a club for former students and staff to keep in touch with each other via correspondence and get-togethers; also to preserve the history in the best form possible for future generations.

Several ideas were put forward as to how this could be accomplished, including building an up-to-date database, forming a committee, making one area in the school answerable to the Alumni Committee and keeping in touch through newsletters.

This meeting was, unfortunately, cut short due to the college reunion photo being taken. Catriona suggested that those who were interested in forming a committee or being involved in some way meet in her science lab at 1:00pm.

This was agreed to and the meeting finished at 10:00am.
